Overview:

At Qulture, the Account Managers are the heartbeat of the agency. They are true integrators working cross functionally to keep a strong and healthy workflow.

Working closely with the Group Account Director, the Account Manager is responsible for the day-to-day functions of Client Services, which include operational efficiency, account logistics and understanding a client’s business needs. This role requires exceptional attention to detail and superior organizational skills. In this role, you are responsible for managing workflow, schedules, budgets, assets and scopes. As a client-facing role, you will express yourself in a professional manner, responding to inquiries in a timely manner. You will also support with brand research, outreach to influencers, ideate, and address other account needs.

The role has 2 main facets – seamless execution and communication.

RESPONSIBILITIES

SEAMLESS EXECUTION

Objective: Facilitate best-in-class service to clients

•      Responsible for continual monitoring (and reporting where necessary) on SOW with clients (understanding Statement Of Work, knowing what’s in and out and when to raise concerns to Account Director or client direct)

•      Responsible for managing internal resources, which includes tracking deadlines and ensuring creative & influencer team are on track to meet client expectations

•      Manage the budget of each project to stay within profit and burn margins by proactively keeping on top of burn-to-date and hard costs including closing each project with a matching P&L

•      Manage both incoming and outgoing invoices, including follow-up on payments

•      Schedule and lead internal and client meetings adhering to agency process (i.e. Kick of Calls, Post-mortems, Status…etc), ensuring agendas and all required materials are prepared and followed up using detailed status documents and/or emails

•      Build thorough project plans using the Project Status tracker to ensure that all projects are delivered according to the established timeline to meet our client’s needs.

•      Strong understanding of project briefing needs from the client for each project using the project brief template as a guide to input important information.

•      Develop detailed Scope Of Work, staffing plans and estimates with the input from the Group Account Director

•      Project manage agency’s internal marketing efforts, treating agency as client

COMMUNICATIONS

Objective: Clarity, simplicity, positivity

•      Communicate with clients as it relates to timeline, status and scheduling (specific needs may change based on the account)

•      Own all schedules and deliverables. Manage and facilitate day-to-day functions of keeping the work moving forward. Ensure adherence to client expectations, agency ambition, and superior quality.

•      Create and share materials that document agreement between agency and clients (i.e. conference reports, status reports and meeting agendas)

•      Facilitate decision-making between stakeholders to keep projects moving forward

•      Act as an active collaborator within the agency, actively suggesting how we can work better internally and more effectively exceed client expectations

Qualifications:

·      This is a mid-level position for someone with between 3-5 years of prior experience.

Impeccable organizational skills and the ability to juggle multiple tasks in a fast-paced environment
Excellent communication and presentation skills
Ability to synthesize different points of view and translate multiple ideas into an active project plan
Experience with technical writing to produce detailed project contracts
Solid understanding of how design, marketing and influencer work is typically staffed and executed
Experience with agency time and financial projecting; Excel skills a must
Experience with presentation design; Keynote experience a must
A self-starter, independently keep a project forward moving with next steps at all times
Driven to achieve operational efficiencies; thinks about what needs to be done and how it can be done with the utmost efficiency while maintaining a high quality outcome
A love for people and working collaboratively and finding creative solutions to complex problems
An active observer and participant of culture
Ability to ‘roll your sleeve up’
