Schedule: Monday–Friday, daytime hours.
Work Location: This position is primarily remote, with rotating on-site requirements for new hire orientation on Mondays.
Residency Requirement: Must reside in Ohio at the time of hire.
Summary
The Talent Onboarding Coordinator supports the full onboarding lifecycle for new hires across staff, providers, fellows, residents, and special populations. This role manages key onboarding workflows, ensures compliance, and provides a high-quality experience to candidates from offer through their first day.
Responsibilities
Coordinate and monitor all onboarding steps in the applicant tracking system, including preboarding and hire actions.
Ensure timely completion of background checks, learning modules, contracts, and onboarding documents.
Serve as the primary point of contact for assigned new hires and managers, providing guidance and support throughout onboarding.
Send welcome communications, orientation details, and system access instructions to new hires.
Troubleshoot onboarding issues, including access delays, and escalate to appropriate departments when needed.
Maintain accurate, audit-ready records in SharePoint, tracking systems, and onboarding files; support onboarding logistics including orientation check-in, ID verification, and documentation collection.
Collaborate with HR, IT, Payroll, and other partners to ensure a smooth onboarding experience, including for special populations such as fellows, students, and acquisitions.
Other Information
Technical Expertise
Knowledge of onboarding and pre-employment processes, including I-9, E-Verify, and background checks.
Familiarity with employment laws and healthcare compliance standards.
Proficiency in Microsoft Office tools, particularly Outlook, Excel, and Word.
Experience with applicant tracking systems (ATS) and HRIS platforms.
Strong organizational, time management, and communication skills to support a high-volume, fast-paced environment.
