Job Specifications

HR Operations Advisor initially for a 6 month FTC.

Job Purpose:

The HR Operations Advisor plays a key role in providing HR operational support to ensure the smooth and efficient delivery of HR services. This includes managing HR processes, systems, and employee-related queries while working closely with the wider HR teams to deliver effective HR solutions across the organisation.

Key Responsibilities:

HR Policy & Process Management:
Assist in the implementation and maintenance of HR policies and procedures.
Ensure compliance with company policies, employment law, and best practices.
Provide advice and guidance on HR-related queries and processes.
Monitor and streamline HR administrative processes to improve efficiency and effectiveness.

Employee Lifecycle Support:
Oversee and support the employee lifecycle, including recruitment, onboarding, performance management, promotions, transfers, and offboarding.
Manage and process employee data changes and updates in HR systems.
Ensure accurate and timely processing of employee documentation (e.g., contracts, changes in terms of employment).

HR Systems and Data Management:
Manage and maintain HRIS (Human Resource Information Systems), ensuring accurate data entry and reporting.
Generate HR reports and metrics related to headcount, turnover, absenteeism, etc.
Assist in the implementation of HR technology and process improvements.

Employee Relations and Support:
Serve as a point of contact for employees regarding HR queries or concerns.
Provide first-line support for general HR issues, referring more complex issues to senior HR staff.
Support initiatives related to employee engagement, wellness, and retention.

Training and Development:
Assist with the coordination and administration of HR training programmes and initiatives.
Ensure compliance with mandatory training requirements and keep records up to date.

Compliance & Reporting:
Maintain knowledge of current employment legislation and ensure the company is compliant with UK labour laws.
Assist in preparing HR-related reports for senior management.
Support audits and internal reviews related to HR practices and data.

Other HR Administrative Support:
Assist in recruitment processes, including interview scheduling, offer letters, and employee onboarding.
Administer employee benefits, payroll enquiries, and leave tracking.
Help coordinate HR events, such as performance reviews, surveys, and internal communications.

Key Skills and Qualifications:
Education:
CIPD level 3 or 5

Experience:
Proven experience in HR operations, administration, or HR support roles.
Experience with HRIS and employee management systems. (Having Hi-Bob experience would be desirable)
Familiarity with UK employment law and HR best practices.

Skills:
Strong communication and interpersonal skills.
High attention to detail and accuracy in data management.
Excellent organisational and time management abilities.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and HR software.
Ability to handle sensitive information with discretion.

Personal Attributes:
Strong problem-solving skills and ability to work under pressure.
Proactive and results-oriented.
Collaborative and able to work effectively with various stakeholders.
