Job - Admin Assistant - Marketing

Location: Remote:

Duration: 12 Months

Job Overview

You'll support multiple marketing leaders by managing their calendars, travel, expenses, and general day-to-day operations. The role focuses on organization and efficiency--helping remove friction so teams can do their best work. Although part of the Marketing team, you'll be connected with global Leadership Operations community (90+ Executive and Administrative Assistants), so you'll have a strong network for support and learning.

Key Responsibilities:

Meeting Management:

Manage complex, multi-time-zone calendars with precision
Schedule meetings and prioritize tasks effectively

Travel Support:

Book and coordinate travel itineraries, transportation, and accommodations

Expense Management:

Submit and approve expense reports for leaders

Operational Support:

Assist with additional administrative or operational tasks as priorities arise

Communication Bridge:

Share updates, track action items, and maintain smooth workflows between leaders and teams

Event Support (as needed):

Help with logistics for marketing events or team gatherings

Qualifications & Skills:

Required:

Experience: 3+ years in an administrative, operations, or coordinator role

Organizational skills: Detail-oriented and highly organized

Communication:

Strong written and verbal skills

Tech skills:

Comfortable with Google Workspace (Calendar, Gmail, Docs, Sheets, Slides, Drive)
Familiar with Slack, Zoom, and project management tools like Trello
Experience with expense/travel management systems (e.g., Concur, Egencia)

Soft skills:

Ability to manage multiple priorities and stay calm under pressure
Proactive and clear communication style
High discretion and professionalism when handling sensitive info

Bonus Points:

Experience supporting marketing teams or leaders
Familiarity with event coordination/logistics
Previous contractor experience in a global/distributed company
