TheMembership and Administration Officerwill play a central role in ensuring the smooth, efficient, and welcoming operation of the charity office and organisational infrastructure. This role is key to maintaining a well-functioning environment that supports the wellbeing, productivity, and collaboration of staff, volunteers, network members, and visitors. Working closely with the Chief Executive and wider team, the Membership and Administration Officer will lead on administrative systems, and office management and processes. The postholder will support core functions including general administration, governance, finance coordination, IT and systems, and resource management.

Location: Hybrid role (between Royal Brompton Hospital and home working)

Responsible to: Charity CEO

Salary and Benefits:£30,000 (FTE)

Contract: 3 days per week (22.5 hours). 6 months fixed term contract

Holidays: 27 days per annum, plusbankholidays (pro-rata)

Job Summary

Main Duties

Provide responsive administrative support across the team, including managing internal meetings, room bookings, resource requests, purchase orders and postage

Collate, reconcile and input membership, donor and supplier information into new charity database

Oversee the day-to-day running of the charity office and storage areas, ensuring a welcoming, safe, and efficient environment for staff, volunteers and visitors

Maintain office supplies and equipment - including stationary, kitchen items, IT devices

Manage the admin email account and office voicemail

Manage incoming and outgoing post and deliveries

Organise and set up staff meetings, trainings, team socials and away days

Support meetings for charity CEO - including scheduling and minute-taking in a timely and efficient manner

Finance support keeping up to date records and inputting invoices/receipts to XERO

Support data protection compliance (e.g. GDPR) in all administrative and operational activities

Undertake any other duties commensurate with the post

Job Requirements

Necessary experience

Experience of working with databases and financial administration

Previous experience within an administrative role

Skills

Strong written and verbal communication skills

Excellent organisational, time management and problem-solving skills

Ability to work under pressure and to deadlines

Strong interpersonal skills with ability to build positive relationships at all levels

Highly proficient in Microsoft Word, Outlook, Excel and Database systems

Competent in using financial software

Qualifications

Educated to at least GCSE Level (or equivalent)
