Your Position & How You Will Contribute

Reporting to the People Operations Generalist, the People Operations & Contract Admin Co-op student plays a key role in supporting telMAX’s operational efficiency, compliance, and employee experience. This hybrid role is approximately 80% People Operations (HR) and 20% PMO, offering a unique opportunity to gain hands-on experience in both HR and project coordination functions. You will contribute to the creation, review, and management of documentation critical to telMAX’s growth, while also supporting employee programs, recruitment, and internal communications. This role is ideal for a detail-oriented, proactive student who thrives in a fast-paced, collaborative environment.

Responsibilities & Key Duties People Operations Support (80%)

Assist in drafting, updating, and organizing People Operations policies, procedures, and internal communications
Maintain accurate and confidential employee records in alignment with legislative and organizational standards
Support onboarding and offboarding processes, including documentation, scheduling, and system updates
Coordinate interview logistics and candidate communications
Assist with job postings and tracking applications
Help plan and execute employee engagement initiatives and internal events
Support compliance tracking and reporting (e.g., training completion, employment standards)
Contribute to internal reporting and data analysis related to People Operations metrics

Project Management Office (PMO) Support (20%)

Documentation & Administration

Draft, update, and maintain a wide range of legal agreements, policies, and amendments
Review and revise existing contracts and templates to ensure relevance and accuracy
Maintain an organized system of digital records within shared drives and the company’s vendor management tool (Clad)
Prepare written notices and correspondence to vendors, municipalities, and other stakeholders

Compliance & Governance

Ensure all contracts and legal documents adhere to applicable legislation, regulations, and internal policies
Monitor contract renewals, expirations, and key milestones to maintain compliance and business continuity
Conduct research on bylaws, municipal requirements, and other regulatory guidelines impacting telMAX’s operations

Collaboration & Communication

Liaise across departments to coordinate key contract terms and ensure alignment with project objectives
Review and interpret third-party contracts, providing insights or recommendations where necessary
Support cross-functional collaboration to uphold transparency and consistency in contract management practices

Operational Support

Assist with day-to-day operational and administrative tasks, such as developing process maps (Visio), conducting data analysis (Excel), updating presentations, and maintaining meeting documentation

Experience & Skills

Strong computer skills, including Microsoft Office (Word, Excel, Outlook, PowerPoint)
Excellent analytical, writing, and organizational skills
Keen attention to detail with a commitment to accuracy and quality
Strong time management skills with the ability to manage multiple priorities
Demonstrated ability to maintain confidentiality and exercise sound judgment
Highly professional and diplomatic with a positive, proactive attitude
Ability to take initiative and work effectively with minimal supervision
Strong interpersonal and communication skills, with the ability to collaborate across teams

Education

Must be currently enrolled in an official co-operative education program at a recognized Canadian post-secondary institution
Pursuing a diploma or degree in Human Resources, Business Administration, Law, or a related field
Eligibility to work full-time during the co-op term as per school guidelines
