Our non profit client is looking for a freelance Event Coordinator to work with their team approximately 10-20 hours a week on an ongoing basis starting by mid February.
In order to be considered for this opportunity, you must be able to work onsite for events in NYC as needed! You will be working remotely otherwise.
As the Event Coordinator, you will be working under the Event Manager to support both internally produced events and those hosted onsite by external partner organizations. The Event Coordinator will be focused on reducing logistical and communication bottlenecks, ensuring seamless coordination across teams, and delivering an exceptional end-to-end event experience for all stakeholders.
The Event Coordinator will be responsible for:
- providing support on the planning, logistics, and day of coordination for a range of events - from simple meetings to complex, multi-stakeholder programs
- serving as a primary point of contact for external organizations hosting events in the Foundation's space, ensuring smooth communication and a positive client experience
- ensuring event spaces are properly scheduled, prepared, and equipped for successful execution
- providing responsive, high-quality communication to internal teams, external partners, and event hosts
- answering questions promptly, troubleshooting issues, and proactively anticipating needs
- working closely with the Program and Operations teams to align on event needs, priorities, and workflows
- supporting the Event Manager in implementing improved processes that streamline communication and reduce bottlenecks
- maintaining accurate event tracking, documentation, and updates using CRM and project management tools
REQUIREMENTS:
- 1+ years of experience in events or venue operations
- proven ability to manage multiple events simultaneously while maintaining attention to detail
- strong communication skills both externally and internally
- experience working in HubSpot, Airtable, Microsoft Office, Asana, or comparable software tool is ideal
In this position, you may have access to client or customer systems, confidential and/or proprietary information or data. This position is onsite and requires you to work closely with other individuals in a collaborative team environment.
